Patients with protected identity
If your patient has protected identity, it’s important that you select this when inviting the patient to the clinic.
Some individuals may have protected identity due to safety concerns or privacy needs. Protected identity means that a person’s personal details—such as name, address, or contact information—are kept confidential and may be masked in healthcare and government systems to safeguard their privacy.
When inviting a patient to your clinic in Careportal, you have the option to specify if they have a protected identity. This feature is crucial for respecting the privacy of patients who require extra measures to protect their personal information.
If you mark a patient as having protected identity, Careportal will apply the following safeguards:
- Masked personal information: All personally identifiable information (PII), including the patient’s name, SSN, phone number, and email, will be masked. This information will not be visible in the Careportal to maintain confidentiality.
- Search requirements: To locate the patient in Careportal, you must search using their full social security number. Partial searches (e.g., only name or partial SSN) will not return results for these patients.
- Restricted contact information edits: The phone number for a patient with protected identity cannot be edited.
If an existing patient at your clinic has a protected identity that was not previously indicated, go to “Edit instructions” in the patient details view and check the protected identity box.
If a patient’s protected status changes and they no longer need this setting:
- Request the change: On the patient details page, submit a request to remove protected identity.
- Patient confirmation: The patient will receive a notification about this request and must confirm that they no longer require protected identity.
- Update: Once confirmed, the protected status will be removed, and their personal information will become visible in Careportal as per regular privacy protocols.
- Adding a patient with protected identity: Select the “protected identity” option when adding the patient.
- Finding a patient with protected identity: Use their full social security number to search.
- Editing contact details: Phone numbers cannot be edited for patients with protected identity.
- Changing protected status: Submit a request, and the patient must confirm before the status is changed.
This feature is designed to prioritize patient privacy and meet the security standards required for those with protected identity across multiple regions.
